Searching the Calhoun County Court Docket
Calhoun County has no all-in-one free docket search. Figure out which court filed the case first. Felonies, Circuit civil matters, and lower-court appeals belong to the Calhoun County Circuit Clerk through Third Circuit MEC. Divorce, probate, guardianship, conservatorship, and equity cases belong to the Calhoun County Chancery Clerk through Eighteenth Chancery MEC. A Justice Court misdemeanor, small claim, or county-road traffic ticket stays in Justice Court. City tickets and ordinance matters start at the issuing municipal court.
For Circuit, open the Third Circuit MEC login. For Chancery, use the Eighteenth Chancery MEC login. The query screens sit behind a login. Anyone without MEC filer credentials can register for PAMEC read-only access; Justice and municipal searches usually begin with a call or a visit to the clerk.
- Identify the court from the citation, summons, order, case type, or case number.
- Use the matching MEC route for Circuit or Chancery records, or the correct lower-court clerk.
- Search by a known case number when possible, or use the precise party name and court after lawful access is available.
- Read the docket sheet in date order for filings, notices, orders, flags, and the newest setting.
- Request a plain or certified copy from the issuing clerk when an online display is not enough.
Note: a Circuit search will not return a Calhoun County municipal ticket or a Justice Court small claim.
Calhoun County Uses Two MEC Docket Portals
Why two portals? Circuit and Chancery are separate courts with separate clerks. The Third Circuit Court District covers Calhoun County plus six other counties. The Eighteenth Chancery District covers Calhoun County plus four others. Each court's page lists the Pittsboro location. It also gives the clerk contact and a March 20, 2023 MEC go-live date. Sharing one courthouse address does not merge the two Calhoun County docket systems.
Serious criminal cases go through the Circuit portal. So do general Circuit civil cases and lower-court appeals. Equity, probate, divorce, guardianship, conservatorship, and related filings go through Chancery. One trap deserves mention. The Chancery Clerk's separate land index is a deed-research tool, not a court-case search. It is not the Chancery docket.
The Third Circuit Court Information page posts public facts about the Calhoun County system.
The page covers the court environment itself; the case query tool stays behind MEC or PAMEC authentication.
Inside a Calhoun County Court Docket
A Calhoun County docket sheet is a running register. It is not a copy of every filing. The header may carry a case number, court, filing date, caption, status, flags, and the assigned judge or court. Below that, chronological entries track complaints, indictments, service, motions, notices, hearings, orders, pleas, judgments, and later activity. An entry can be fully readable while its attached document stays restricted.
Read the newest entries carefully. A notice of setting may be followed by a continuance, a reset, an order, or a new setting. Third Circuit public metadata includes flags such as APPEAL, Arraignment Pending, CLOSED, EXPUNGED, Final Judgment Issued, Municipal Court Appeal, Plea Pending, SEALED, and Trial Pending. Treat those flags as clues. They do not replace the underlying court record.
| Case header | Identifies the court, filing date, case number, caption, and status where MEC exposes them. |
|---|---|
| Parties and counsel | Shows public party roles and counsel of record when the system permits display. |
| Register entries | Lists dated filings, notices, motions, orders, hearings, and other case actions. |
| Settings | Shows a hearing or court event when a case-level date, time, or term is available. |
| Disposition | May show a judgment, decree, dismissal, conviction, acquittal, or closed status. |
Calhoun County Docket Searches Start by Court
Start with the court, not the county name. The most common Calhoun County routing error skips that step. People search by county first. The court that filed the case controls the search, not a reader's address. Circuit Court takes felonies, general civil matters, and lower-court appeals. Chancery Court takes the equitable and family categories. Justice Court handles small claims up to $3,500. It also takes county traffic outside municipalities, misdemeanors, and preliminary or bond functions. City ordinances and city traffic belong to municipal court.
Appeals add a wrinkle. A Calhoun County appeal may receive a new Circuit case number or an appeal flag. That is why an older Justice or municipal case can leave a later Circuit trail. Official county and judicial directories list no separate Calhoun County Court. Keep the court paths separate. Otherwise a missing result gets mistaken for proof that a case does not exist.
- Docket sheet
- The chronological register of filings, orders, hearings, and other court actions.
- Setting
- A scheduled court event, such as an arraignment, hearing, trial, or docket call.
- BOUND OVER
- A Third Circuit MEC flag that can indicate movement forward after a lower preliminary stage.
- Municipal Court Appeal
- A MEC flag that indicates a matter has moved from a municipal court into Circuit Court.
Courts That Keep Dockets in Calhoun County
Several offices hold Calhoun County records. The Circuit and Chancery counters share a Pittsboro courthouse address but not docket custody. Justice and municipal courts keep their own lower-court records. The table marks a practical first stop, not a promise of remote access to every record.
| Court | Docket covers | Where to search or ask |
|---|---|---|
| Calhoun County Circuit Court | Felonies, Circuit civil cases, lower-court appeals | Third Circuit MEC or Circuit Clerk |
| Calhoun County Chancery Court | Divorce, probate, guardianship, conservatorship, equity | Eighteenth Chancery MEC or Chancery Clerk |
| Calhoun County Justice Court | Small claims, misdemeanors, county traffic, preliminary matters | Justice Court Clerk |
| Municipal Court | City traffic, city ordinances, municipal misdemeanors | Issuing city's municipal clerk |
Calhoun County Youth Court files are the exception. Juvenile records can be confidential or restricted, so a docket search may not show what an authorized court user can see.
Calhoun County PAMEC Docket Access
PAMEC stands for Public Access to Mississippi Electronic Courts. It is the public side of MEC for participating courts. For Calhoun County Circuit and Chancery matters, PAMEC works as a registered, read-only route. It is not a free anonymous index. The official registration page posts a $10 annual fee. That fee covers public users. The terms bill use at $0.20 per page of search results. A search with no match still draws a one-page charge.
The PAMEC registration page offers three user types: Attorney, Non-Attorney, and Firm Administrator. Payment runs by online card or e-check, with a mailed-check option that can delay access. Broad, repeated searches can cost more than a careful Calhoun County court-first search. The terms also bar automated collection and allow suspension for unpaid or abusive use.
One cheaper option exists. MEC procedures allow free electronic viewing during regular business hours. Any Circuit or Chancery file can be viewed in the clerk's office. Copies still carry applicable charges.
How to Find Court Dates and Settings
Start with the paper in hand. A Calhoun County court date usually appears on a notice, citation, summons, order, or the newest docket entry. Figure out the venue first. Circuit and Chancery cases have a current setting. It is listed in the matching MEC or PAMEC record. Justice Court and municipal matters work differently; call the clerk who issued the paperwork. The public Third Circuit calendar can flag a Calhoun Term, Plea and Motion event, or Grand Jury event. It never controls an individual case setting.
The calendar's public interface gives you month, week, day, category, and print controls. One August 2026 entry read "Calhoun Term" and ran from August 3 through 14. It carried no case numbers, no names, no courtroom assignments, and no judges. A term range alone never proves your case is called on every day inside it. Calhoun County court dates offers more detail.
Whenever a record seems unclear, phone the right office. The Circuit Clerk, Chancery Clerk, Justice Court Clerk, or issuing municipal clerk can tell you what the event actually is. Ask what kind of event it is. Is it an arraignment, plea or motion, term, trial, docket call, grand-jury date, or a reset?
Calhoun County Docket Calendar Labels
Read every public Calhoun County calendar label as a signal, nothing more. "Plea and Motion" names the day's calendar business. It does not mean a plea was entered in each case. "Grand Jury" marks an event category. It makes no grand-jury material public. "Calhoun Term" covers a multi-day Circuit term. It is not a list of confirmed personal hearing dates. Only the case docket and the clerk can confirm a setting.
Suppose a printed notice looks older than the latest Calhoun County docket entry. Read the register forward from that earlier setting. A continuance or reset may have moved your date. The public calendar carries no case-level reset history at all. Chancery does have a MEC Calendar endpoint. Its public search behavior cannot be relied on without a session. Verify any Chancery setting through the case record or the clerk.
A term listing is not an individual appearance notice. Confirm the current Calhoun County setting with the court that holds the case.
Public Access to Court Dockets
Mississippi law and court procedure frame Calhoun County docket access together. The Mississippi Public Records Act generally opens a route to inspect or copy public records under reasonable procedures. Clerk practice and MEC rules also govern what a court record shows. Non-restricted Circuit and Chancery electronic files can be read remotely through PAMEC, or viewed electronically at no remote fee in the clerk's office during regular business hours.
The limits matter. A docket sheet may list an entry. The filing behind it can stay restricted to counsel of record. SEALED and EXPUNGED flags cut off public detail. Youth Court records are generally confidential or restricted. A Calhoun County search can come up empty. The cause could be a court mismatch, a pre-MEC file, a restricted case, an expunged case, or a spelling issue. A missing result never proves a case did not exist.
Key Rules:
Mississippi Public Records Act, Miss. Code §25-61-5 provides a general inspection and copying route, subject to exemptions and reasonable procedures.
Miss. Code §25-61-13 describes a chancery-court remedy after a covered public-record denial; confirm court-record treatment first.
MEC Administrative Procedures describe remote access to non-restricted material and free clerk-office electronic viewing.
Miss. Code §43-21-263 addresses specified Youth Court sealing and access rules.
Calhoun County MEC Dockets Began in 2023
Mark March 20, 2023 on your mental map of Calhoun County docket access. The Circuit and Chancery Court Information pages both list that date as the MEC go-live. It explains a common split. Newer files carry an electronic trail. Older records may live in paper, a docket book, microfilm, or archived material that a clerk must search by hand. The date does not erase earlier records. It also does not guarantee that every later document is open remotely.
MEC captures electronic filing, clerk scanning or uploading, notices, and docket entries. If a careful MEC check still misses a Calhoun County case, hand the proper clerk the court, case or citation number, the parties, an approximate date, and what you want copied. The clerk can then tell you the answer. Older, paper, or restricted records need a direct search.
Note: A March 2023 electronic start is a routing clue. It is not a substitute for asking the Calhoun County clerk about an older file.
Docket Records at the Clerk's Office
Calhoun County splits its docket custody across offices. Circuit Clerk Carlton Baker keeps Circuit criminal and civil files plus lower-court appeals. Kathy Weeks Poynor is the Chancery Clerk. Her office holds Chancery petitions, decrees, orders, divorce and equity cases, probate, estates, guardianships, and conservatorships. Justice Court Clerk Tracy McGuirt maintains the Justice Court dockets. Municipal clerks keep the city records. Send any Calhoun County records request to whichever office actually holds the case.
A mailed request should state the court, case number, style or party, date range, the docket or document wanted, plain versus certified copy, a return address, and payment contact. Always ask for a quote before mailing payment. Calhoun County has not published its plain-copy, certified-copy, and turnaround amounts. One more caution: email or fax transmission is not MEC filing.

Calhoun County Federal Dockets Differ
A Calhoun County matter in federal court sits outside Mississippi MEC entirely. The county sits in the Oxford Division of the U.S. District Court for the Northern District of Mississippi. Federal cases run on CM/ECF for filing. PACER handles public access. PACER registration and pricing stand apart from PAMEC. Any federal record gets certified by a federal clerk, not a Calhoun County clerk. The Northern District division map shows Calhoun County sitting in the Oxford Division.
The map draws the federal routing line. It cannot convert a state Circuit, Chancery, Justice, or municipal case into a PACER case.
PACER's published pricing shows $0.10 per-page access. Most docket-report and document caps sit at $3, and a quarterly billing threshold applies. PACER pricing information is separate from Calhoun County PAMEC costs.
Federal access fees should not be confused with the Calhoun County public MEC route.
Calhoun County Court Dockets by City
Calhoun County's five largest incorporated places appear in the 2020 Census. Each calls for a court-first docket search. City traffic, ordinance, and municipal misdemeanor matters start with the issuing municipality. County traffic outside a municipal boundary, plus small claims, routes to Justice Court. An appeal can then move into Circuit Court. The city pages keep each known city contact. They also flag where no official online search exists.

2020 Census population 1,707. No official online municipal docket portal was located.
Calhoun City Docket Search
2020 Census population 1,533. City Hall identifies a Municipal Court Clerk but no citation search form.
Vardaman Docket Search
2020 Census population 1,110. A state directory phone is the verified fallback.
Derma Docket Search
2020 Census population 957. Derma matters remain distinct from Calhoun City and Justice Court files.
Pittsboro Docket Search
2020 Census population 157. Pittsboro is the county seat, but no municipal portal was verified.
The Census TIGERweb incorporated-place table supplies the city ranking.
The table lists the Calhoun County places covered here. It is not one shared municipal docket database.
Calhoun County Traffic Docket Venues
For a Calhoun County traffic or municipal case, one fact decides the venue. That fact is where the ticket was issued. A Justice Court route covers county traffic outside a municipality. A city-issued citation normally stays in that city's court unless it appeals. Calhoun City stands alone here. It is the only city profile with a confirmed City Hall contact and Municipal Court Clerk listing. Bruce, Derma, and Vardaman have municipal judge entries in the state directory. None offers a local online ticket lookup. No court-clerk web page exists at any of the three.
Before calling, gather a few items. These are the citation, the issuing agency, and the printed court name. Local citation formats, online payment pages, traffic copy fees, and deferred-disposition policies vary by court. The issuing court is the right next step, not an assumed Calhoun County portal. See Calhoun County traffic tickets for the Justice-versus-municipal route.
Map and Directions to the Calhoun County Courthouse
Circuit and Chancery Court both keep their files at the Calhoun County Courthouse, 103 West Main Street, #192, in Pittsboro. The Circuit Clerk's counter handles felony and major civil filings, while the Chancery Clerk's counter, at the same address, handles divorce, estate, guardianship, and land matters. No county court operates here, so those two clerks cover nearly every county-level case.
